Privacy Policy
This Privacy Policy explains how Vantra ("we", "us") collects, uses, and protects personal information when you use Vantra Folio (the "Service"), a document editing and electronic-signature application available at folio.vantrasoftware.com.
1. Information we collect
- Account information. When you sign in with Google or Microsoft, we receive your name and email address from that provider to create and identify your account. We do not receive your password.
- Documents and content. The documents you upload or create, their contents, annotations, fields, and the recipient names and email addresses you add in order to send documents for signature.
- Signature data. Signatures applied to documents, and related audit information such as timestamps.
- Usage and technical data. Basic technical information needed to operate the Service, such as your browser type, and preferences you set (for example theme and layout), stored locally in your browser.
2. How we use information
- To provide, maintain, and secure the Service — authenticating you, storing and rendering your documents, and sending documents to the recipients you choose.
- To operate features you request, such as preparing documents for signature and delivering signing links by email.
- To communicate with you about your account or the Service.
- To comply with legal obligations and to detect, prevent, and address fraud or abuse.
We do not sell your personal information, and we do not use the contents of your documents for advertising.
3. How information is shared
- Sign-in providers. Google and Microsoft process your authentication when you choose to sign in with them.
- Hosting and infrastructure. The Service is hosted on Microsoft Azure, which stores data on our behalf under appropriate safeguards.
- Recipients you choose. When you send a document for signature, the document and related information are shared with the recipients you specify.
- Legal. We may disclose information where required by law or to protect our rights, users, or the public.
4. Data retention
We retain your account information and documents for as long as your account is active or as needed to provide the Service. You may request deletion of your documents or account at any time, after which we will delete or anonymise the associated data within a reasonable period, subject to any legal retention requirements.
5. Security
We use reasonable technical and organisational measures to protect your information, including encrypted connections (HTTPS) and access controls. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
6. Cookies and local storage
The Service uses your browser's local and session storage to keep you signed in and to remember your preferences. It does not use third-party advertising or tracking cookies.
7. Your rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise these rights, contact us using the details below. If you signed in with Google or Microsoft, you can also manage the connection from your account settings with that provider.
8. International transfers
Your information may be processed in countries other than your own. Where it is, we take steps to ensure an appropriate level of protection for your information.
9. Children
The Service is not directed to children under 16, and we do not knowingly collect personal information from them.
10. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above, and material changes will be made prominent within the Service.
